✔ Financial Record Accuracy
Maintain accurate and up-to-date financial records, ensuring every transaction is properly recorded, classified, and supported with the appropriate documentation.

✔ Bank & Cash Reconciliation: Perform timely reconciliation of bank statements, cash records, and financial transactions, promptly identifying and resolving any discrepancies.

✔ Financial Reporting: Prepare accurate daily, weekly, and monthly financial reports that provide Management with reliable information for decision-making.

✔ Expense & Payment Management: Verify, record, and monitor company expenses while ensuring approved staff, vendor, and operational payments are processed accurately and on schedule.

✔ Payroll Support: Assist in preparing payroll by ensuring salary computations, allowances, deductions, and supporting records are accurate and submitted on time.

Roles & Responsibilities:

As our Accounts Officer, you’ll help ensure the company’s financial records are accurate, transactions are properly documented, and financial processes are carried out efficiently and on time.

Your responsibilities will include:

Financial Records & Documentation

You’ll maintain accurate financial records relating to our daily logistics, warehousing, fulfilment, and online store operations. This includes documenting customer payments, Payment-on-Delivery (POD) collections, vendor remittances, operational expenses, invoices, receipts, bank transactions, and other financial records while ensuring every transaction is properly filed, reconciled, and readily available for reporting and audit purposes.

Daily Sales & Payment Reconciliation

You’ll reconcile daily sales, customer payments, POS transactions, bank transfers, cash collections, and Payment-on-Delivery (POD) remittances to ensure every payment received by the company is accurately accounted for and any discrepancies are promptly investigated.

Vendor Remittance Management

You’ll prepare, verify, and process vendor remittances by confirming successful deliveries, validating payment records, reconciling outstanding balances, and ensuring vendors receive accurate and timely settlements.

Operational Expense Monitoring

You’ll record and monitor daily operational expenses, including dispatch costs, transport reimbursements, warehouse expenses, office purchases, and other company expenditures while ensuring all expenses are properly approved and supported with the necessary documentation.

Bank Reconciliation & Cash Management

You’ll reconcile company bank accounts, cash collections, petty cash, and deposits, ensuring all financial transactions are accurately recorded, balanced, and supported with appropriate documentation.

Financial Reporting

You’ll prepare accurate daily, weekly, and monthly financial reports covering sales, collections, expenses, vendor remittances, outstanding balances, and overall financial performance to support management decision-making.

Inventory Value & Stock Financial Control

You’ll work closely with the Inventory Officer and Storekeeper to reconcile inventory records with financial records, verify stock-related transactions, investigate discrepancies, and ensure the financial value of inventory is accurately reflected in company records.

Compliance & Internal Controls

You’ll ensure all financial transactions comply with company policies and internal control procedures by maintaining proper documentation, verifying approvals, preventing financial irregularities, and supporting both internal and external audits.

Cross-Department Collaboration

You’ll work closely with the Operations Team, Customer Service Officers, Dispatch Coordinators, Inventory Officers, Storekeepers, and Branch Operations Managers to ensure financial records accurately reflect the company’s daily logistics and e-commerce activities.

Financial Accuracy & Continuous Improvement

You’ll identify discrepancies, recommend improvements to financial processes, support automation where appropriate, and contribute to building efficient financial systems that improve accountability, reporting accuracy, and the overall growth of RGMart Logistics & Online Stores.
